Privacy Policy

Last updated: October 9, 2026

McKAILEN helps high school track and field athletes and their families find college programs that fit. This policy explains what we collect, why, who can see it, and the choices you have. "We" means McKailen LLC, a Wyoming limited liability company, which runs McKAILEN.

The short version

  • We collect what you type in: your account details, your marks, and the profile details you choose to add.
  • We do not sell your information. We do not show advertising. We do not use advertising or tracking tools.
  • An athlete's profile can be seen only by that athlete, a parent or guardian they invite, and a coach who has been approved.
  • Athletes under 18 need a parent or guardian to approve the account before school, academic and family details are saved.
  • You can delete your account and everything in it yourself, at any time.

Who can use McKAILEN

McKAILEN is for high school athletes aged 13 and older, their parents or guardians, and their coaches. It is not open to children under 13, and we ask every athlete to confirm they are 13 or older when they sign up. If we learn that a child under 13 has created an account, we will delete it.

What we collect

When you create an account

  • Email address and password. The password is stored in scrambled form; we cannot read it.
  • Whether you are an athlete, a parent or guardian, or a coach.
  • First and last name, if you give them.
  • For athletes: whether you are under 18, and your confirmation that you are 13 or older.
  • The date you accepted these documents and which version.

Athlete profile (all optional)

  • Graduation year, competition category (men's or women's), events.
  • High school and state.
  • Grade point average, ACT and SAT scores, and intended majors.
  • A yearly cost target for your family and how far from home you would go.
  • How much weight you give to things like academics, cost and location.
  • For college athletes looking to transfer: current college, class year and seasons of eligibility left.

Marks

  • Event, mark, meet name, date and wind reading, entered by the athlete or by an approved coach.

Your school list

  • Schools you save, the status you set for each, notes and tasks.
  • Schools you pick to compare and the search they came from.

Family and coach links

  • Which parent or guardian accounts and coach accounts are linked to an athlete, and when each link was approved.
  • Notes a coach writes about an athlete. Only the coach who wrote a note can see it.

Reports and errors

  • When you use "Report a problem": what you write, the page you were on, your browser type, and your account if you are signed in (or an email address if you choose to give one).
  • When the site hits an error: the error text, the page it happened on and the browser type. These reports do not include who was signed in.

Stored on your device

We use your browser's storage, not advertising cookies, to keep you signed in and to remember schools you saved or picked before signing in. When you sign out, the schools picked for comparison on your account are removed from that device.

Collected by our hosting providers

The companies that host the site and database record standard technical details for each request, such as IP address, time and browser type, for security and troubleshooting.

What we do not collect

  • Payment details. McKAILEN is free and takes no payments.
  • Precise location.
  • Contacts, photos or anything else from your device.
  • Advertising identifiers.

How we use it

  • To show how an athlete's marks compare with college rosters, and to keep their school list.
  • To let a parent or guardian approve an athlete's account and coach links.
  • To let an approved coach see an athlete's marks and school list and add marks.
  • To fix problems and keep the site secure.
  • To tell you about important changes to the service or these documents.

We do not use your information for advertising, and we do not sell or rent it to anyone. We do not share an athlete's profile with college coaches or colleges. If an athlete emails a college coach, they do it from their own email account; nothing is sent from McKAILEN.

Who can see an athlete's information

  • The athlete.
  • A linked parent or guardian, after entering an invite code the athlete gives them: the athlete's profile, marks and school list.
  • An approved coach, after entering a coach code and being approved (by a parent or guardian when the athlete is under 18): the athlete's name, graduation year, events, marks and school list. Coaches do not see grades, test scores or family cost details.
  • Our service providers, who store and deliver the site for us and may not use the information for anything else: Supabase (database and sign-in) and Vercel (website hosting). Account data is stored in the United States.
  • Authorities, only when the law requires it.

Athletes under 18

  • When an athlete says they are under 18, school, academic and family details cannot be saved until a parent or guardian has linked their own account and approved.
  • A coach cannot be linked to an athlete under 18 without a parent's or guardian's approval.
  • A parent or guardian can withdraw approval at any time from their account. Doing so removes the athlete's high school, state, grades, test scores, intended majors, family cost target and distance preference.
  • Parents and guardians can ask us to show them, correct or delete their child's information.

Information about college athletes

To show how a high school athlete compares with a college roster, McKAILEN uses results that are already public: meet results and season lists published by colleges and results services, and the U.S. Department of Education's College Scorecard for academic and cost figures. This can include a college athlete's name, school, event and mark as published. If you are a college athlete and want your name removed from McKAILEN, use "Report a problem" and we will remove it.

How long we keep it

We keep account information for as long as the account is open. When you delete your account, the profile, marks, school list, links and notes are removed at once. Problem reports you sent are kept without your account attached. Error reports are kept only as long as they are useful for fixing problems. Backups made by our database provider are kept for a limited time and then overwritten.

Your choices

  • See and change: most information can be viewed and edited on the Athlete Profile and My list pages.
  • Delete: use "Delete my account" at the bottom of your profile page. It removes the account and what is saved in it straight away. A parent or guardian who wants a child's account deleted can ask through "Report a problem".
  • A copy: ask the same way and we will send what we hold about you.
  • Where you live may give you additional rights over your information, such as the right to know what we hold, correct it or have it deleted. We honor those requests wherever you live; contact us and we will respond.

Security

Information is encrypted in transit. Access rules in the database limit each account to its own records and to the links described above. No system is perfectly secure; if a breach affects your information we will tell you as the law requires.

Changes

If we change this policy in a way that matters, we will ask everyone to review and accept the new version the next time they sign in.
